Practice Policies
Insurance & Self-Pay
Clients are responsible for confirming coverage and any pre-authorization requirements with their insurance provider prior to their appointment. Payment, including co-pays or self-pay fees, is due at the time of service.
Cancellations & Missed Appointments
Appointments must be canceled or rescheduled with at least 24 hours’ notice. Cancellations made with less than 24 hours’ notice, as well as missed appointments (no-shows), will be charged a fee equal to 50% of the scheduled session fee.
Repeated late cancellations or no-shows may result in a charge of the full session fee.
Fees are charged for time reserved and provider availability. Cancellation fees are not billable to insurance and remain the patient’s responsibility. Refunds are not provided for missed or late-canceled appointments.
Inclement Weather
Telehealth appointments will continue as scheduled during inclement weather, provided internet and service connections remain stable. In-person appointments may be transitioned to telehealth or rescheduled when necessary for safety.
Prescription Refills
Refill requests must be submitted through the pharmacy or patient portal at least 7 days prior to running out of medication. Refill requests are processed during regular business hours and may require clinical review.
Refill requests submitted outside of scheduled appointments are not guaranteed. Early refills may not be approved.
Controlled Substances
Controlled medications are prescribed in accordance with federal and Virginia state regulations. An in-person evaluation may be required prior to initiating or continuing controlled medications.
Ongoing follow-up visits are mandatory. Lost, stolen, or damaged medications will not be replaced.
Required Intake Forms
Intake documents will be sent to the email address provided during scheduling and must be completed prior to your appointment.
Appointments may be rescheduled if required forms are not submitted in advance.
Communication
Non-urgent communication should be submitted through the secure patient portal. Messages are reviewed during regular business hours only, and response times may vary.
The patient portal, email, and voicemail are not appropriate for urgent or emergency concerns.
Rituality Wellness does not provide after-hours on-call services. Messages received outside of regular business hours will be reviewed on the next business day.
Emergencies
Rituality Wellness does not provide crisis or emergency services.
